What this field note should leave behind
Each recurring service has a business owner, supported job, user count, renewal date, information boundary, export path, and keep, change, combine, or stop decision.
Work the problem in this order

Collect invoices, card charges, administrator portals, app-store subscriptions, domain renewals, telecom bills, and contracts for one review period.
- 02
Group each item by business job. Record the owner, actual users, required capability, dependent workflow, information held, contract term, renewal date, and exit path.

Investigate unused seats, overlapping jobs, personal-card purchases, annual renewals without owners, and services that cannot export needed records. Do not cancel from price alone.

Assign a decision and date. Test exports, notify affected people, preserve required records, remove access, and confirm billing closure when stopping a service.
Evidence worth seeing
- The review includes taxes, add-ons, storage, usage charges, support, implementation, and change costs where applicable.
- An apparent duplicate is not serving a distinct team, location, customer, compliance, or continuity need.
- The cancellation path does not remove needed records, domain control, phone numbers, integrations, or authentication dependencies.
- No savings or market-price claim is made without current verified evidence.
