Work the problem in this order

  1. 01

    Pick one frequent business journey such as inquiry to quote, order to payment, appointment to follow-up, or hire to first day.

  2. 02

    Draw each handoff in order. Name the person, system, trigger, fields needed, decision made, exception path, and next recipient.

  3. 03

    Mark duplicate entry, manual copying, unowned inboxes, private spreadsheets, unclear status, missing validation, and places where sensitive information travels farther than needed.

  4. 04

    Choose one improvement that reduces a handoff or makes ownership visible. Test it on a small set and keep the current fallback until the result is proven.

Evidence worth seeing

  • One system or record is named as the authoritative source for each critical fact.
  • People know where to correct an error and how the correction reaches downstream copies.
  • The map distinguishes an approved integration from manual work and informal workarounds.
  • Only the minimum necessary information crosses each boundary.
