Workflow handoff map
What is a workflow handoff map for small-business technology?
A workflow handoff map traces one business job across people, forms, inboxes, spreadsheets, applications, integrations, decisions, exceptions, and reports so the team can see where information enters, who changes it, which record is authoritative, and how errors or outages are handled.
Facts the business should be able to see
- Name each trigger, person, system, required field, decision, exception path, next recipient, and fallback in order.
- Mark duplicate entry, manual copying, unowned inboxes, private spreadsheets, unclear status, and information that travels farther than needed.
- For every critical fact, name the authoritative record and the path that propagates a correction to downstream copies.
What this definition cannot establish
- A process map does not verify data quality, integration security, legal authority, accessibility, accounting treatment, or regulatory compliance.
- Changes involving identity, employment, health, payment, tax, safeguarding, or other regulated information need qualified fact-specific review.
